PICT Office Activity Tracker - A Complete Guide

For Admin Office Staff,O.S. & Registrar

Welcome to Activity Tracker

A centralized system to manage, track, and monitor office activities across all desks at PICT.

This manual will guide you through all features of the system.

Key Concepts

Desk

Each office/ department (e.g., Academic, Exam, Admin). Staff are assigned to specific desks.

Visibility

Private: Visible only to the assigned desk.
Common: Visible to all staff.

Roles

Staff: Can update progress on assigned tasks.
Admin: Full control (add, edit, delete, reschedule).

1. Login to the System

Enter Credentials

Use your institute email ID and password provided by the administrator.

  • Email: username@pict.edu
  • Password: Your secure password

Complete Captcha

Solve the simple math question to verify you're a human.

Click the refresh icon for a new captcha if needed.

2. Forgot Password?

On the login screen, click "Forgot Password?"

Enter your registered email ID.

A temporary password (starting with PICT) will be sent to your email.

Login with the temporary password. You will be forced to change it immediately.

Check your Spam folder if you don't see the email in your Inbox.

3. Changing Your Password

If you're logging in for the first time or used "Forgot Password", you'll see the Security Update screen.

  • Enter New Password (min 6 characters)
  • Confirm Password
  • Click UPDATE & RE-LOGIN

From the dashboard, click the button to change your password anytime.

4. Dashboard Overview

Welcome Bar

Shows your name, desk, and quick actions (Add, Password, Logout).

Charts

Pie Chart: Overall completed vs pending tasks.
Bar Chart: Desk-wise progress.

Filters

Search by title/desk, filter by status or priority.

5. Viewing Activities

The main table shows all activities you have access to:

6. Updating Activity Progress

  1. Click the button next to the activity.
  2. A form will pop up with:
    • Status: Not Started / In Progress / Completed
    • Progress %: 0 to 100
    • Remarks: Any comments (optional)
  3. Click .
Note: When you mark progress as 100%, the "Target End Date" in the tracker is automatically set to the current date.
Start Date Logic

The first time you update an activity, the "Start Date" is automatically recorded in the tracker. It won't change with subsequent updates.

7. Viewing Activity History

Click the (history) button next to any activity.

A modal will show a complete log of all updates made to that activity:

The most recent updates appear first (reverse chronological order).

8. Adding a New Activity

  1. Click the button on the top bar.
  2. Fill in the form:
    • Desk: Select the responsible desk (Admins see all desks; Staff see only their desk + Common).
    • Title: Name of the activity.
    • Frequency: One-time (default) or Yearly (auto-creates next year).
    • Priority: Low/Medium/High.
    • Start & End Dates.
    • Visibility: Private (only that desk) or Common (all staff).
  3. Click .

Activity ID is auto-generated (e.g., ACT101).

Admin Features

Reschedule Activity

Admins see an extra button.

Click to modify the Start and End dates of any activity.

Delete Activity

Admins see a button.

Click to permanently remove an activity (requires confirmation).

This action cannot be undone.

9. Automated Email Reminders

DailyStart Date Reminders

Every day at 10 PM, an email is sent for activities that start today.

  • Private activities → Email to the specific desk staff.
  • Common activities → Email to all staff.
DeadlineDeadline Reminders

Every morning, emails are sent for activities due within the next 3 days (and not yet completed).

Subject: "Urgent: Task Deadline Approaching - [Title]"

These reminders are automated. Ensure your email address is correct in the system.

10. Logging Out

Click the button on the top bar.

A confirmation modal will appear. Click OK to return to the login screen.
